We specialise in providing our clients with a range of professional independent services for letting agents, landlords & tenants.  We offer a variety of unbiased reports that are designed to a high specification to cater for our clients needs & that comply with all relevant regulations. All reports are produced in a 48 hour turnaround timeframe.

Reports Provided:             



Inventory Report


Professional Property Inventories Ltd will provide a detailed unbiased independent Inventory Report. Without this document a landlord may have no legal entitlement in the event of a dispute to make deductions from a tenants deposit at the end of the tenancy.
 
  • Provide a dated comprehensive detailed inventory of all the contents, fixtures, fittings & decor of your property.
  • The report works methodically from the front entrance through each room & includes any outdoor space.
  • All reports include high resolution colour photographs & a description of condition. 
  • This report is compiled using appropriate terminology & layout to ensure reduction in disputes & maximum deposit protection.
  • Reports can be sent as PDF's to an email account, or as a bound presentation copy, or both.


Check-In Report
 
Professional Property Inventories Ltd offer a check in service to check tenants into the property at the beginning of a tenancy using a unbiased independent inventory report. This provides a schedule of condition & sets the standard at which the property should be maintained, and returned at the end of the tenancy.
 
  • The tenant is greeted & informed of the check in process.
  • Each item on the inventory will be checked - notes made of any changes.
  • The check in will provide an accurate description of the property reflecting condition & contents at the given date & time.
  • Utility readings are taken * & the telephone will be noted as connected or not. If no reading is taken a reason will be provided.
  • The tenants will be walked through the property, highlighting any issues.
  • A list of keys will be handed over to the tenant & included on the inventory.
  • We will ask the tenant to sign a confirmation sheet confirming they have received the keys & inventory.
  • We will also ask the tenant to sign a declaration confirming they have agreed to the details of the inventory.
  • If this is not signed on the day we will inform the tenant it must be returned to the landlord/agent within 7 days of check in.
  • Our inventory clerks will inform the tenant of their obligations with regard to the check-out procedure.

* It is the Clients’ responsibility to state the locations of utility meters. If unaware of, unable to locate or has unreasonable access to meters, the meters will remain unread.



Check-out Report

Professional Property Inventories Ltd offer a check-out report to check tenants out of the property at the end of a tenancy, as an independent agency this will be an unbiased report.

  • The check out will be conducted against the original inventory which was agreed at the start of the tenancy together with any information supplied as to work carried out or items added or removed during tenancy. (We must be given a copy if we did not do the check in).
  • We check each item on the inventory.  We compare the state of the property to the original inventory. 
  • We list all changes, make recommendations & where practical, advise on compensation. (*We always take into account 'Fair wear & Tear' when conducting our check-out reports.)
  • A check-out report listing significant variations which occurred during the course of the tenancy will be compiled & supplied to the instructing principal.
  • Utility Readings will be taken ** & telephone will be noted as connected or not.
  • Keys will be returned & checked against the list provided at check in.
  • Forwarding contact details for the outgoing tenant will be taken where possible.
  • We will ensure the property is left secure.
  • If the tenant does not attend the check-out then the inventory clerks assessment is final.

* Fair wear &tear is assessed on the length of the tenancy &the type of occupancy, noting that certain items receive higher usage; we acknowledge that the contractual terms listed in the tenancy agreement may overrule the opinion of the assessor.

Interim Property Inspections
 
Professional Property Inventories Ltd offer interim property visits. This service provides landlords/agents with a written report stating the general condition of the interior & exterior of the property & how the tenants are caring for it. This is also known as a schedule of condition.

  • The condition of the property is reported considering the length of tenancy & expected condition at a given point in time.
  • It reports on the general condition of the interior & exterior of the property.
  • It reports cleanliness, neglect, defects, repairs required, health & safety issues together with recommendations.



Snagging report

Professional Property Inventories Ltd offer a snagging report, required at the final stage of new builds.

  • Detailed record of any issues noted with finish, decor, fixtures, fittings, electrics, glazing, appliances etc.
  • A 'snag list' is generated which can be used as a final check to guarantee the finish of your property meets your standards.



Utility Company Notification

Professional Property Inventories Ltd offer an additional service of Utility Notification at the check-in & check-out point of the inventory process. This would be charged at an additional cost of £10 per check-in & check-out.

  • Utility readings from the check-in/check-out report will be used where available.
  • If no readings are available, readings taken by the independent clerk on the date will be used to notify the utility companies.
  • Contact relevant utility companies giving details of outgoing or incoming tenants & relevant billing address details.
  • The landlord/agent billing details will be given to the utility companies for void periods.
  • This will include gas, electricity, water & council tax.
